This article describes the Quote/Contract Approval functionality and how to set it up for use at your Station Group.
Learn more: Approvals
Two concepts:
1) Some groups require a Quote/Contract (Proposal or Proposed Order) to be approved by someone other than the Account Executive prior to sending to the Advertiser.
2) Some Groups require approval of a Quote/Contract (Sales Order) that has been "sold and agreed upon" by an Advertiser to be approved by someone other than the Account Executive prior to being scheduled with the Traffic department. Depending on the Group, an approval of a sold sales order may require multiple approval levels.
The WAVSTAR Contract has been designed to support:
1) Requiring one approval of a Quote prior to sending to the advertiser
2) Requiring one, two, or three levels of approval of a Sold Quote/Contract(Sales Order) prior to Traffic viewing and scheduling
3) Any combination of the above is acceptable
Two steps are required to set up Contract Approvals for your Group:
1) In Station Group Admin go into the Approval page and select the desired options:
KEY CONCEPT: Only the those users with the highest authority level will be able to mark a Contract as Sold (making Contract available to Traffic for scheduling).
Example: If you set Require Order Approval to Level 1, only those users who have Level 1 Contract Approval authority can mark a Contract as Sold.
See examples below.
2) Designate the User(s) who will have the associated Approval Authority necessary to support your configuration.
*You may have multiple users with the same authority level, which is highly recommended to avoid bottlenecks when a user who approves is not available.
Identify the user's authority to Approve Quotes AND/OR what level of approval the user has with respect to Sold orders pending release to the Traffic queue.
The User summary view shows the level of Quote/Order approval for each user.
Once the two approval steps are in place, you can begin using the Approval process.
How it works:
The entire process and functionality is based on the Contract Status Code which is located in the upper right hand corner of the Contract form.
Four key items in this Status box:
- Current Status:
- Change Status to:
- History: showing each status change with a user, date & time stamped
- View Activities button: redirects you to the Activity list page showing ONLY (and all) the activities related to that Contract
Depending on how you have configured the Approvals required, the role of the user who is logged in AND where in the approval process you are, different Status codes are made available in the "Change Status to:" drop down list
