This article describes how the Contract (Quote and Order) Approval functionality works.


Two concepts: 


1) Some groups require a Quote/Contracts (Proposal or Proposed Order) to be approved by someone other than the Account Executive BEFORE it is sent to the Advertiser. 


2) Some Groups require approval of a Quote/Contracts (Sales Order) that has been "sold and agreed upon" by an Advertiser  BEFORE it goes to the Traffic department for scheduling. Depending on the Group, approval of a sold sales order may need to happen at multiple levels internally.


Your Station Group Administrator may have set up approval requirements for Quotes and/or Sold Orders. 


Please confirm your specific requirements with your Sales Manager.  If NO approvals are required then you do not need to continue with this article.


Before you continue get the answers to the following questions:


1) Do Quote/Contracts require review and approval BEFORE and Account Executive can send it to an Advertiser?

2) Does a Quote/Contracts (Sales Order) that has been "sold and agreed upon" by an Advertiser require approval BEFORE it goes to the Traffic department for scheduling?


KEY CONCEPT: Only the those users with the highest authority level will be able to mark a Contract as Sold (making it available to Traffic for scheduling).

Example: If you set Require Order Approval to Level 1, only those users who have Level 1 Contract Approval authority can mark a Contract as Sold.

Once those two steps are complete you may now begin using the Approval process.


How it works:


The entire process and functionality is based on the Contract Status Code which is located in the upper right hand corner of the Contract form.


Four key items in this Status box:

  • Current Status:
  • Change Status to
  • History: showing each status change with a user, date & time stamped
  • View Activities button: redirects you to the Activity list page showing ONLY (and all) the activities related to that Contract



Depending on how you have configured the Approvals required, the role of the user who is logged in AND where in the approval process you are, different Status codes are made available in the "Change Status to:" drop down list
